Production Coordinator

for Wojan Studio in Warszawa

Employment Art and animation

Wojan Studio is looking for a Production Coordinator to join the production team behind a feature-length animated film for young audiences.

You’ll work closely with Producers, CG Supervisor, and Department Leads to keep the production organized.

This is a Junior to Mid-level role, ideal for someone with some production experience in animation, VFX, or games who wants to grow within a feature film production. Hands-on experience with Shotgun (ShotGrid / Flow Production Tracking) is our top priority.

Responsibilities

  • Manage and maintain production data in Shotgun (ShotGrid / Flow Production Tracking), including shots, assets, tasks, statuses, and versions.
  • Track progress across departments and keep schedules, task assignments, and deadlines up to date.
  • Organize and run daily reviews and dailies, take clear notes, and make sure feedback reaches the right artists and is followed up.
  • Coordinate the flow of work between departments, making sure hand-offs happen on time and nothing falls through the cracks.
  • Support Producers and Production Managers with reports and status updates.
  • Support onboarding of new team members.

Requirements

  • Hands-on experience using Shotgun (ShotGrid / Flow Production Tracking) in a production environment. This is essential.
  • At least 1 year of experience as a Production Coordinator, Production Assistant, or similar role in animation, VFX, games, or other CG production.
  • Basic understanding of the 3D production pipeline (modeling, rigging, layout, animation) and how departments depend on each other.
  • Excellent organizational skills and attention to detail.
  • Good working knowledge of Google Workspace or Excel, especially spreadsheets.
  • Fluent Polish is essential.
  • Basic English, enough to handle written communication and production tools in English.
  • Ability to work on-site at our Warsaw studio.

Bonus Points

  • Experience on an animated feature film, game cinematics or series.
  • Familiarity with other production tools such as ftrack, Jira, or Confluence.
  • A passion for art, animation and cinema.

What We Offer

  • A chance to be part of the production team on a feature-length animated film from the inside.
  • Real opportunities for growth within the production team as the project develops.
  • A collaborative, international team.
  • On-site position in our Warsaw studio.
