About the role

We are seeking a reliable and organised Conveyancing Assistant to join our busy residential property team. The successful candidate will provide high-quality administrative and casework support to fee earners, helping to ensure efficient progression of a varied caseload of residential property transactions. This role offers an excellent opportunity for someone who wishes to develop their conveyancing career within a modern, supportive law firm.

Key responsibilities:

  • Assist with the progression of residential conveyancing matters from initial instruction to completion, including freehold and leasehold sales and purchases, remortgages and transfers of equity.

  • Open and maintain matter files on the case management system; ensure accurate upload and indexing of documents, and keep time and task records up to date.

  • Liaise with clients, estate agents, mortgage lenders, surveyors, other firms and third parties to obtain information, chase enquiries and coordinate completions.

  • Monitor searches, requisitions, priority dates and mortgage conditions; chase outstanding actions and escalate issues to fee earners where appropriate to maintain progress.

  • Assist with client money handling, prepare completion financials and work with accounts to ensure funds are received, reconciled and transferred in accordance with practice rules.

  • Provide excellent client care by keeping clients informed of progress, responding promptly to routine enquiries and updating clients and fee earners of key milestones.

  • Support fee earners with general administrative tasks such as diary management, bundle preparation, scanning, filing and preparing paperwork for execution and post-completion formalities.

Key skills and experience:

  • Previous experience in a conveyancing assistant, legal PA or similar administrative role within a law firm.

  • Practical knowledge of residential conveyancing procedures including searches, title issues, mortgage conditions, leasehold matters and SDLT/completion accounting.

  • Confident communicator with good drafting skills and a professional manner when liaising with clients and third parties.

  • Highly organised with strong attention to detail, able to prioritise competing demands and meet deadlines with minimal supervision.

  • Proven experience of using case management systems and Microsoft Office.
