Tender & Proposal Specialist

About Sybilla Technologies

At Sybilla Technologies, we are on a mission to let the world see what happens in space — clearly, reliably, and on time.

In a domain where objects travel at 24,000 km/h and a single unseen fragment can destroy a satellite or endanger a crew, visibility is everything. We transform that responsibility into action, building systems, software, and services that safeguard the future of global space operations.

Born from a passion for astronomy, engineering, and exploration, Sybilla has grown from a small, bootstrapped startup into a recognized European space-tech company. We work across Space Traffic Management, Space Surveillance & Tracking, and Space Operations, combining advanced optical systems, software, automation, and data.

Our technologies help governments, defense organizations, space operators, and other customers understand what is happening in orbit and make better, more informed decisions in an increasingly complex space environment.

Today, we are a growing international team of astrophysicists, engineers, software developers, analysts, project managers, and other specialists working together across Europe and beyond.

About the role

As a Tender & Proposal Specialist (mid-level), you will be responsible for coordinating and preparing proposals and offers for public-sector and commercial opportunities, with a particular focus on ESA, EDF and other EU and institutional tenders.

You will manage the bid process from opportunity analysis through internal coordination, preparation, governance and submission. This means bringing together inputs from technical, financial, sales and administrative teams and making sure that complex information is turned into clear, complete and competitive proposal documentation.

You will work closely with Business Development Managers and internal stakeholders to shape opportunities and develop winning offering strategies. You will also contribute to the continuous improvement of Sybilla’s proposal processes, templates, reusable content and bid knowledge base.

The role requires strong ownership, attention to detail and the ability to keep multiple deadlines and stakeholders moving in the same direction — while maintaining a high standard of quality.

What You Will Do:

  • Manage the full bid lifecycle, ensuring proposals move smoothly through internal governance and approval processes. Write proposals for public tenders published by space agencies and public institutions, including opportunities under the European Defence Fund.
  • Prepare technical offers for commercial and public customers in response to Requests for Information (RFIs) and Requests for Pricing (RFPs).
  • Prepare and coordinate cross-functional contributors to proposal and offer documentation across technical, financial, sales and administrative teams.
  • Analyze and evaluate calls for proposals, RFIs and RFPs to assess requirements, opportunities and submission expectations.
  • Maintain CRM data quality and consistency for opportunities approaching the tendering and offering phase.
  • Manage the full bid lifecycle, ensuring proposals move smoothly through internal governance and approval processes.
  • Maintain and improve proposal templates, reusable content and bid knowledge management.

What You Bring:

Must-have

  • 3-5 years of experience writing offers and winning ESA, EDF or EU tenders and projects.
  • Strong project and stakeholder management skills, with confidence working across cross-functional teams.
  • A proactive, delivery-focused mindset and excellent attention to detail.
  • Exceptional written communication skills, with the ability to translate complex technical or operational inputs into clear and concise proposal content.
  • The ability to operate calmly under pressure while managing multiple priorities and deadlines.
  • Fluent English, both written and spoken.

 Nice to Have

  • Advanced professional certifications and a relevant education.
  • Experience working in fast-paced environments.
  • Interest in the space industry.
  • Previous experience working with complex technical proposals or within a highly specialized technology environment.

What We Offer:

  • Remote-first work model (the company’s HQ is in Bydgoszcz, Poland),
  • Compensation:
    • Poland: 10,000–14,000 PLN gross/month (employment contract) or 74–106 PLN net/hour (B2B).
    • EU / other locations: EUR 2,800-3,920 gross/month (employment contract) or EUR 21-30 net/h (B2B).
    • The final compensation package depends on professional experience, qualifications, seniority, employment model and applicable local market conditions.
  • Flexible working hours,
  • Medical and sports package (Poland only),
  • Group insurance (where applicable),
  • Professional development opportunities, including conferences, training and other learning opportunities,
  • A dedicated mentor and structured onboarding, where applicable,
  • A high level of ownership and autonomy in your area of responsibility,
  • The opportunity to work in a highly specialized space-tech environment alongside astrophysicists, engineers, analysts, software developers and other experts,
  • The opportunity to work on technologies and projects with real-world impact across the space, defense and deep-tech ecosystem.

Why Sybilla?

At Sybilla, we don’t just observe space. We make it navigable. Predictable. Safe. And you can help shape what comes next.

  • We give people real responsibility and trust them to take ownership of their work.
  • We work on complex problems where good decisions, collaboration and high standards matter.
  • We value clear communication, accountability and getting things done — without unnecessary bureaucracy.
  • We are growing, which means there is room to improve how we work, challenge existing solutions and make a visible impact.
