This is the office job at the heart of our sales team in Bishopton. You’ll handle every order from the first enquiry through to delivery, which leaves our salespeople free to sell.

  • Depot: Bishopton, Renfrewshire
  • Hours: Monday to Friday, 40 hours a week.
  • Reports to: Group Sales Managers
  • Contract: Permanent

Who we are

Hamilton Ross Group is one of the UK’s largest machinery dealerships. We have been trading since 1933, we are in our third generation of family ownership, and around 200 people work with us across nine depots in Scotland and the north of England. We represent major brands like Massey Ferguson, Valtra, Fendt, JCB, Wacker Neuson, Kubota, Honda, Stihl, and Husqvarna.

The role

You’ll be the first person customers deal with when they phone, email or walk into the showroom. You’ll log the enquiry, then take it through quotation, order, PDI and delivery. Along the way you’ll work with our sales team on the road, the workshop team on site and the manufacturers we order from.

You’ll report to the Group Sales Managers and work alongside our Sales Support Supervisor, who organises the sales support team’s work. Most of the job comes down to accuracy and follow-through. You get the details right first time, chase whatever is missing and tell people early when something is running late. When it’s busy or a colleague is off, you’ll cover for them.

What you’ll be doing

  • Answer showroom, phone and email enquiries and pass them to the right salesperson
  • Process confirmed machine orders, checking the spec, pricing and delivery details are complete
  • Raise invoices for machinery, hire and training across groundcare, agriculture and construction
  • Keep customer records and the sales pipeline up to date in the systems we use
  • Agree PDI and delivery dates with the workshop and keep customers updated
  • Prepare the paperwork for demonstrations, shows, and customer events
  • Chase the information needed to complete quotes and orders
  • Raise delays, stock problems, or customer concerns with the Sales Support Supervisor

Requirements

What you’ll bring

Essential

  • Experience in sales administration, sales support or a customer-facing office role
  • Accuracy with prices, order details, and invoices along with general attention to detail
  • Confident with Microsoft Office, especially Excel and Outlook
  • A clear, professional manner with customers on the phone and by email
  • Able to manage a busy workload and keep on top of follow-ups

Desirable

  • Experience in a machinery, motor, or plant dealership
  • Experience using a dealer management system (IBCOS Gold) or CRM
  • Knowledge of groundcare, agriculture, turf or garden machinery
  • Experience placing orders through manufacturer portals

What you’ll get

Holiday: 30 days a year including bank holidays. Four are a paid Christmas and New Year shutdown, and the other 26 are yours to choose.

Pension: Salary sacrifice company pension scheme with Royal London, so your contributions cost you less in tax and National Insurance.

Long service: Tax-free awards at milestone years, plus an extra day’s holiday in your tenth and fifteenth years.

Through the year: A tax-free gift at Christmas and again at New Year, and a birthday gift every year once you have been with us two years.

Staff discount: Trade prices on parts, workwear and garden machinery, for you and your household.

Refer a friend: A cash bonus when someone you introduce joins us and stays three months.

Training: Manufacturer training on the brands you work with, and support towards relevant qualifications.

Why people stay

Our average length of service is over ten years, and two of our team retired after spending more than sixty years each with the business. People come to Hamilton Ross and stay, which is why we put real money into training and promote from within wherever we can.
